  • The Opportunity

    Purpose of Position


    To provide administrative support to the Spain sales team and front-line customer service. Technical review and processing of quotations and applications; creation of customer master records, licence records and preparation of assessment programmes for delivery; recording enquiry information, call handling, enquiry evaluation and response, project work and general duties.


    Key Responsibilities & Accountabilities


    • Receive, prioritise, technically verify and process Sales Briefs received from Spain Sales Team
    • Produce customer correspondence including quotation and contract documents
    • Receive, prioritise, technically verify and process customer applications
    • Receive, prioritise and process requests for initial assessment programme changes from Operations Team
    • Create customer master records including billing, licence and electronically stored master document records
    • Pass fully prepared assessment programme and customer master records to Operations for delivery
    • Receive and handle incoming phone, e-mail and letter enquiries from external and internal customers and ensure resolution of enquiry within required time frame, ensuring customers are clear on fees and terms of contract.
    • Provide general administration support to the department as requested and required by the management team.
    • Undertake specific project work as required.
    • Adopt a team approach to working both within own group and with other teams and functions within the department and other areas of the business.

    • Interface with Direct Sales Staff, Planning Team, Client Managers, Operations Support Teams.

    • Ability to cope with pressure and meet tight deadlines.
    • To be computer literate with extensive experience in the use of Information Technology for business administration applications, in particular skilled in database management, word processing, spreadsheets, electronic mail and Internet based applications.
    • An attitude to get it right first time and take pride in their work and performance and to be part of a successful team.
    • Educated at least to Bachelor degree
    • Ability to manage conflicting situations on the telephone and negotiate resolution to find the best solutions.
    • Strong customer focus.
    • Knowledge and skill in telephone enquiry handling techniques.
    • Clear, concise and approachable speech, with excellent listening skills, and the flexibility to respond to callers in a manner appropriate to their status and expertise.
    • Excellent organisational and time management skills with the ability to work on own initiative when required.
    • Meticulous attention to details.
    • Fluent in English
